Q: When can I check in for the Convention? What about if I am coming to the Gala only?

A: The registration desk opens at 4:00pm on Thursday, September 28th and will be open until the Exhibition Review by Andy Evansen at 7pm that same evening. You may also check in Friday 9am to 4pm and Saturday from 9am to 1:30pm. If you are coming to the GALA ONLY, you can check-in for your tickets prior to the event on September 30th from 6-7pm.

Q: What is the latest I can register online for the Convention?

A:  Registration for Convention closes on September 9th. This deadline allows us to prepare badges and tickets for you and gives the hotel time to order the food for the lunch boxes and the Gala Awards Dinner.

Q: Will I be able to purchase a ticket at the hotel the day I arrive?

A:  Yes, we will accommodate Walk-in registrations and you may purchase a Convention ticket when you arrive at Convention - but, it will cost $10 more than it would if you ordered it online prior to the September 9th deadline. You can always convert your Live ticket to a Replays by contacting us and letting us know you will not be attending if you plans change. Price for Live and Replays is the same except that members enjoy a $10 discount.

Please note: Students who volunteer to assist with the Convention will receive a free admission to attend the Convention. Please check in at the registration desk for your badges.

Q: I already purchased my Lunch Boxes for myself, but I forgot to order for my guests?

A:  You may order Lunch Boxes for your guests, even if you forgot to order as one of your options when you placed your order for your Convention ticket. Simply click this link Lunch Box Orders. Enter the name of the person the lunch box is for instead of yourself, add more as guests until all lunch boxes are ordered. Once you are done, click next and go to the payment page to check out and pay for your lunches. You will need to complete your payment to complete your orders within 15 minutes of clicking next. The payment page will time out after 15 minutes if you have not paid.

Q: I forgot to order lunch for myself - how can I do that now? I have a Convention ticket already, but no lunch boxes. 

A: You may order lunches separately by clicking this link:  Lunch Box Orders  This will also work for Workshop attendees who forgot to order lunches. Lunche boxes are available for purchase for Mon, Tues, Wed, Thurs, Fri, and Sat. Only order the days you need the lunch boxes. 

Q: I already purchased my Gala Awards Dinner ticket for myself, but I now have guests I would like to come with me. How do I order for my guests?

A:  Similar to Lunch Boxes, you may place your order for your guests by clicking GALA ONLY. Enter the name of the person the ticket is for (yourself or your guest). You may add additional guests until your order is complete. Once you are done, click next and go to the payment page to check out and pay for your tickets. You will need to complete your payment to complete your orders within 15 minutes of clicking next. The payment page will time out after 15 minutes if you have not paid.

Q: I won an award and I want to come to the Gala, but not to the Convention. 

A:  You can order the Gala Only ticket at registration for yourself and add any of you guests who will be attending with you. The latest you will be able to purchase a Gala Only ticket is September 14th. The hotel needs to order the food two weeks prior to the dinner.

Q: Do I need a ticket to attend the Trade Show only?

A:  No, be our guest on the Trade Show floor.

Q: What if I changed my mind about the lunches I ordered? I want to change my selection or cancel my lunch box orders. 

A:  Please reach out to us as soon as you know your plans will change. We cannot accept cancellations or revisions to your order after September 8th, so please choose carefully. 

Q: What is your cancellation policy for Convention?

A:  We do not allow automatic cancellations through our website; however, you may contact us at info@floridawatercolorsociety.org prior to September 8th to request a cancellation be considered. Please keep in mind that if you find you are unable to attend the Convention, we can also convert your LIVE ticket to a REPLAYS ONLY ticket with no additional cost to you. Naturally, that is our preference, but we understand things happen in life and will consider your request if submitted prior to midnight on September 8th.

Q: When will the video Replays be available? For how long?

A:  After Convention, Ron Malone, our Digital Director, will package all the recordings made during Convention and make them available on the FWS website. They will be available exclusively to Convention attendees AND those who purchased Replays and did not attend the Convention through June 30th, 2024. You will be given instructions on how to access the replays.

Please noteThis is NOT a hybrid/virtual convention. The artist demos are recorded for later viewing of the video replays for those who purchase tickets.
