2023 FWS TRADE SHOW
Vendor Booths and Options
FWS 2023 Convention & Trade Show will be held at the Hilton Ocala, in Ocala, FL and runs Friday, September 29 through Saturday, September 30. We anticipate from 300-400 ticketed Convention attendees. Trade Show is open to all with or without a Convention ticket. Vendor page will inform website traffic about the Trade Show and what vendors will be attending.

Hilton Ocala is offering a discount rate of $189/night plus taxes when you mention you are with FWS for reservations made no later than September 1st.
Hotel Information: You will need to make your own hotel reservations. Hilton Ocala is offering a discounted room rate of $189/night plus tax for all FWS Convention attendees with a two-night stay. Please aware these rooms are going fast. You may not be able to get this rate for all nights you request. Hilton Ocala has set up a booking link for our group. FWS has secured two secondary options for discounted room rates at the Best Western and at the Hampton Inn - both are less than a mile away on the west side of I-75. Rooms are available from Wednesday 9/27 through Saturday 9/29, checking out on Sunday 10/1. We suggest you may want to call the hotel directly to ensure you are getting the best rate available. Just mention that you are with Florida Watercolor Society and would like to get the discounted rate for our guests.

Trade Show table reservations are on a first come/first serve basis and should be made as soon as possible. The deadline is August 1, 2023.
Base Cost of a Single Space Booth - 10' x 10' with one 2' x 6' skirted table and two (2) chairs plus one (1) vendor identification sign. May rent more than one booth. Single Space Booth - $425. Extra spaces may be purchased at an additional $375 for each additional booth.

Shipping & Storage Fee (optional) - All vendor merchandise may be shipped directly to the Hilton Ocala starting three (3) days prior to the Convention. Please display the name Florida Watercolor Society Convention on the packaging. The storage fee is $150 per pallet. Lunch Boxes (optional) are available for purchase at $25.25 - choose among five options - see full menu below. Please add additional Booth Attendants as guests to order lunch boxes for them. Payment is made online and lunch boxes are picked up at lunchtime that day.
Gala Awards Dinner (optional) - Saturday, September 30, no-host, cash/credit bar cocktails at 6:30pm, dining hall opens 7:00pm. Menu consists of three choices - Chicken Marsala, Mahi Mahi, or Pasta Primavera Farfalle. You may order first for yourself, then add your guest(s) and order separately for each one in addition to the lunch boxes. Cost for Dinner is $60/person.
Set-up - Thursday, September 28, 2023 9:00am to 5:00pm and Friday, September 29, 2023 8:00-9:00am
Other Conditions: Payment is made without cancellation or refund except for cancellation of the event by FWS. Layout of the Trade Show is at the discretion of Florida Watercolor Society. Exhibitor assumes all responsibility for losses, damages, and claims arising out of Exhibitor's activities on the premises of the Hilton Ocala and agrees to indemnify, defend, and hold harmless the Hilton Ocala, its agents, servants, and employees, and the Florida Watercolor Society, Inc. representatives and agents, from any and all such losses, damages and claims.
By processing payment for booth rental, the vendor's agent agrees to all conditions presented herein.
